Overview

You can upload pre-defined PDF form templates into new generation ARC Facilities. Pre-defined PDF templates can be created using Acrobat or any PDF forms creation tool (third party) on the local computer. The ARC internal team will also supply sample PDF templates which can be utilized if desired.

You can open these PDF templates in the app & fill in the info (maintenance logs, inspection forms, compliance forms etc.) & submit for approval or save as draft. As soon as you populate a template and submit that template for approval or saves that filled up template as draft, that template is converted into a form. Hence, you can generate multiple forms from a single template. During uploading a template in the app, you can schedule, form generation from that template on a periodic basis (daily, weekly, monthly, quarterly, yearly). Based on the schedule you will get notification that you need to generate a form from the template.

Form send link to external user – This feature is required to make a custodian or outside contractors to fill out the form but not give access to application (require authentication from user who wants to access the form).

Navigation to Forms Module

Click the [Forms] module button on the Campus Home screen left-side panel.

If you have not uploaded any form template before, the template list will appear blank.  

Otherwise, The Forms screen will display the list of templates which have been uploaded.

The left panel of the template list screen displays the Template list, and right panel shows the tags associated with templates (these tags are entered by user during template creation).

  • On the Forms list screen, click on any of the template rows (on the left-panel) to view all the forms (at various stages – with status as ‘Draft’, ‘Approved’, Rejected’, ‘Submitted’ & ‘Pending’) created using this template.
  • Click the [Add Template] button to upload a new fillable PDF template and select/enter relevant details.

 

To choose location of saved templates, scroll down the pop-up  and click [Choose] button beside the ‘Save location’ option. 

 

It will open a new pop-up window displaying the folders present in the Folders and Files module of your account, 

 

Click on a folder to enter it and then click [Done] button to set that folder as the destination of the saved forms. 

Note: System folder will not be available for selection.
