Below if described the process to conduct global search in the application.

  • Click on the  (Global Search icon) to open the Search pop-up box.

  •  Enter the search keyword within the Global Search textbox. For this example, the search keyword entered is 'ARC'.

  • Select All Modules OR one or more appropriate module(s) from the drop-down, within which the search will be restricted.

The search can end here but if you wish to use the custom attribute values for search to narrow your search result then do the following (for 3 types of search attributes).

  • Tick the checkbox beside a selection type custom attribute called ‘With Document Type’ field.
    • Select the appropriate option from the Operator drop-down. For this example, select the ‘Equal To’  operator
    • Select the appropriate conjunction radio-button. For this example, select ‘and’ radio-button
    • Select a specific custom lookup fields (which is associated with the custom attribute) by clicking the [Plus] button

  • Tick the checkbox beside a date type custom attribute called ‘With Date of Expiration’ field.
    • On the opened up pop-up box you will have to scroll up or down to select the suitable date. After scrolling to the appropriate date, you will have to click the on the date to complete the date selection procedure

  • Tick the checkbox beside a string/numerical type custom attribute called ‘With Warranty’ field.
    • Select the operator as 'containing' or 'equal to'
    • Enter alphanumeric text or numbers within the specified textbox

Hence, after entering the search keyword, selecting the respective module where search will be carried out and then selecting or entering appropriate Custom Attribute(s) values you will have to click on the (Search button - present at the bottom of the Search pop-up box) to view the search results fetched by the application.

The application will search for the keyword within file name, meta-data (title, description & search tags) as well as within file content (content search using Solr engine). Also, application will search for the keyword in name & meta-data of campuses, photos, equipments, forms & notifications. Search results churned out by the application contains the entered search string and falls within the purview of the selected or entered custom attributes. Also, the searched out content will be highlighted on the line of text it is present, along with the page number of the document on which it is present.


Screenshot below displays the Search Results for keyword 'ARC' (no custom attribute is used):

As you can see in the above screenshot application fetched campuses, files, photos, equipments, forms & notifications as search results. At the top of the screen is displayed the modules within which the entered search keyword has been found. If you click on any module button like then only the search keyword found in that module will be displayed.

  • Click on  (All button) to view the search results under all modules.

What you can do with the search results?

  • You can open the document on the Application Viewer by clicking on the document name link. Example: . You can also view the number of pages the document possesses. You can also click on the Campus, Photo, Equipment, Form & Notification Name link to view that respective element.

  • You can click on the page number link on which the searched content is located (this is only applicable for files)

  • You can click on  (Download File button) to download the whole document within user’s local system (applicable for Files only)

  • You can click on  (View File button) to view the document on the Application Viewer (applicable for PDF Files only)

  • You can click on  (Show in Campus button) to navigate to location of search item (if the items are files & photos). Otherwise, clicking this button to open the equipment view screen, form view screen & campus dashboard screen.

  • You can click on  (Link File button) to send the download link of the searched out document to different Contacts using outlook email (applicable for Files only)

  • You can click on (Campus Info button) to view Campus details (applicable for Campuses only)
