The subsequent sections of this document describes the following functionalities:


  • View Equipment Details

View Equipment Details


Click on an individual equipment row on the Equipment dashboard screen or Equipment list screen to view/edit the equipment details. Click on equipment row on the search results (fetched as equipment row) to view/edit that equipment.

The count of maintenance/inspection forms, linked files, parts, useful links, and tags already associated with the equipment are displayed. On the View equipment screen, users will be able to view/edit the following info for equipment:

  • View photos associated with the equipment and attach a photo/video of the equipment by clicking the [Add photo/video] plus sign button either from the computer drive or from within the ARC Facilities app. If the user has already added a maximum of 10 photos or 5 videos, then this button will appear disabled.

  • View/edit equipment details, view/edit location PIN of the equipment on a building plan, view/add associated maintenance/inspection forms, view/add linked files, view/add part details, view/add useful links, edit notes, search/add tags.

    Note: Users will not be able to add forms, files, or links if the maximum limit has been exceeded.

  • Send a link of the equipment record via email or delete the equipment by clicking the respective buttons present on the top right-hand corner of the screen.


Sending Equipment Access Link and Deleting Equipment

  • Click on the [Remove] button to delete the equipment details from the app.
  • Click on the [Send link] button to send a link to access the equipment record through email.

 

 The screenshot below displays the  Send equipment link screen,


On the Send equipment link pop-up screen which appears, an auto-generated access link of the equipment is displayed (this link can be copied).

  • Enter the recipient email ID and add any message
  • Click the [Send] button to send the access link of the equipment to the mentioned email ID.


The recipient will click the link to access and view the equipment.


Viewing/Editing Attached Photo/Video


On the View equipment screen, users can view photos/videos attached to the equipment. The photo which will appear as the display picture of the equipment is also identified in the application with text (as shown in the screenshot below)

  • Click the [Attach photo/video] plus sign button to attach more photos/videos from the local computer or from the Album module of the ARC Facilities app.

  • Click on any one of the attached photo thumbnails and that photo will open in the app photo editor



Users can draw various markups on the photo like a straight line, rectangle, ellipse, freehand line, enter the text within a text box.

  • As an example, click on the markup button like [Line] and then left-click. Continue holding and moving the mouse cursor over the photo to draw the line.

  • Use the mouse scroll button to zoom in and out of the photo

  • Click the [Rotate] button to rotate the photo by 90 degrees and up to 360 degrees.

  • Click the [Settings] button to change the color and thickness of the drawn markups.

  • Click the [Undo & Redo] buttons to revert changes and get back previous changes.

  • Click on the [Save] button to save changes

When the user moves the cursor over the attached photo, a [More options] button will appear.

  • Click on the [More options] button and a drop-down will appear displaying four options.



  • Click the [Add to ARC Facilities] button to add any photo within the Album module of ARC Facilities, if that photo has been attached from the local computer drive.



Navigate inside an album and click the [Done] button to complete the addition of the photo in ARC Facilities.

  • Click the [Remove] button to detach the photo attachment with the equipment.

  • Click the [Make display picture] button to make the photo appear as the display picture of the equipment (this photo will be displayed on the equipment row on the equipment dashboard or equipment list screen). If the photo is already a display picture, then clicking this button will not change the display.

  • Click the [Information] button to view file information like name, type of image, size, date on which the photo is attached, and the name of the user who attached the photo.



Click the [More details] button to view the following option as shown below.



  • Click on the [Add to ARC Facilities] button to add any photo within the Album module of ARC Facilities, if that photo has been attached from the local computer drive.

  • Click on the [Download] button to download the image from a local computer.

  • Click on the [Remove] button to delete the photo from the app.


Viewing/Editing Equipment Details


On the View equipment screen, users can view the general and manufacturer info within the Equipment details section. Users can view the general info of equipment like name, install date, warranty expiration date, description and manufacturer/model info of an equipment like manufacturer name, model no., serial no. & type.

  • Click on the [Edit] button to modify and update equipment details


As soon as the user clicks this button, all the fields become editable as shown in the screenshot below.



After modifying any of the field data, click on the [Save] button to save the modified data.


Viewing/editing Location PIN of Equipment


On the View equipment screen, users can view the location PIN of the equipment within the Location section. Users can view the building name where the equipment is located, floor number within the building, and the total area covered by the building. Users can click on the Location map to view/edit the location PIN associated with the equipment

  • Click on [Edit] button to modify and update location details

 

As soon as the user clicks this button, all the fields become editable as shown in the screenshot below.



  • Click on the location PIN to open the building plan (plan of the building where the equipment is located) through the app viewer. The location map document will open displaying annotated PIN on the document. This PIN will be viewable and editable.

    But if user has not associated the PIN with the equipment through the Create PIN screen then the Add files screen will appear. From Add files screen user will have to open the document map where the PIN is visible.

 

Note: For details on location PIN, please refer to the ‘Document PIN’ workflow document.


Viewing/Adding Linked Files


On the View equipment screen, users can view the files linked with the equipment on the Linked files section.

  • Click on the [Add] button to attach/link files from ARC Facilities or from computer
  • Click on the [More details] button to get two options: ‘Remove’ and ‘Information’



  • Click on the  [More details] button to get two options: ‘Remove’ and ‘Download’.



  • Click the [Remove] button to delete the file from the app 
  • Click the [Download] button to download the document in the local system


Viewing/Editing/Adding Parts


On the View equipment screen, the user can view the various part details of the equipment on the Parts section.

  • Click on the [Add] button to open a new Parts screen where users can enter and save new part information

  • Click on the [Order] link to order(buy) a part from an external website. The ‘Link to order’ field on the Part details screen must be filled with the link of the website which supplies the part. Hence, when the user clicks the ‘Order’ link he/she is navigated to the parts website.

  • Click on the [Delete] button to delete the part detail.

  • Click on a part row to view details of a part.

  • Click on the [Edit] button to make the text boxes containing part details as editable.



  • Modify any part info (in the text boxes) and click the [Save] button to update the part information.


Viewing/Navigating to External Links


On the View equipment screen, users can view the external website links associated with the equipment under the Useful links section.

  • Click on the [Add] button and a pop-up box for adding a link address and name will appear.
  • Click on the link to navigate to the external website through the link (the link opens in a new tab of the browser).
  • Click on the [Delete] button to delete the link associated with the equipment.


Viewing/Editing Notes


On the View equipment screen, users can view the notes within the Notes section. This note is entered during equipment creation.

  • Click on the [Edit] button to make the note area editable.



  • Modify/remove the note text and click the [Save] button to update/purge the note.


Viewing/Adding/Removing Equipment Tags


On the View equipment screen, view the tags associated with the equipment within the Tags section.

The newly-added tags and the existing tags are displayed on the screen (as shown above). 

  • Click the {Cross} sign to remove a tag and thereby disconnect the tag associated with the equipment.
